EventSync Terms of Use

These Terms of Use (“Terms”) govern access to and use of EventSync, an event management and coordination platform used by Lots of Love Events.

By accessing EventSync, creating or using an authorized account, submitting an inquiry, or using its available services, you acknowledge that you have read and agree to comply with these Terms and applicable Philippine law.

1. About EventSync

EventSync is designed to assist Lots of Love Events in managing and coordinating event-related activities through an integrated digital platform.

Depending on a user’s role and authorization, EventSync may provide functions for:

• Inquiries and bookings;
• Client and event management;
• Event planning;
• Tasks and reminders;
• Calendar and scheduling;
• Meetings;
• Documents;
• Venue layouts;
• Coordinator assignments;
• Supplier tracking;
• Guest lists;
• Event programs;
• Payments;
• Client feedback;
• Messaging;
• Business Intelligence;
• Agentic AI-assisted event planning;
• Audit and activity records; and
• System administration.

Access to a particular function does not automatically provide access to all information within EventSync.

2. Electronic Transactions

Electronic information, communications, acknowledgments, and documents made available through EventSync may form part of business and event-related transactions where permitted by law.

Use of electronic records and communications is subject to applicable Philippine law, including Republic Act No. 8792, the Electronic Commerce Act of 2000.

Where a separate quotation, booking agreement, event coordination agreement, invoice, or other written contract exists between Lots of Love Events and a client, the provisions of that specific agreement govern the commercial terms of the event.

3. User Accounts

Some EventSync functions require an authorized account.

Users must:

• Provide accurate information;
• Use only the account assigned to them;
• Keep passwords and authentication information confidential;
• Avoid sharing credentials with another person;
• Immediately report suspected unauthorized account access; and
• Use EventSync only for legitimate and authorized purposes.

Users are responsible for activities performed through their accounts when those activities result from their own actions or failure to reasonably protect their credentials, subject to applicable law.

4. User Roles and Access

EventSync uses role-based access controls.

Available roles may include:

• Owner;
• IT Administrator;
• Admin;
• Assistant Admin;
• Sales Employee;
• Coordinator; and
• Client.

Access to records and functions depends on the user’s role, responsibilities, and assigned events.

Coordinators are intended to access only events to which they have been assigned.

Clients are intended to access only information associated with their own account and event.

Users must not attempt to bypass these restrictions.

5. Acceptable Use

Users agree to use EventSync only for legitimate event-management, business, communication, and administrative purposes.

Users must not:

• Attempt to gain unauthorized access to another user’s account;
• Access events or records they are not authorized to view;
• Circumvent system permissions or security controls;
• Share another person’s login credentials;
• Introduce malware, viruses, ransomware, or other harmful code;
• Intentionally interfere with the operation of the platform;
• Attempt unauthorized extraction or scraping of protected information;
• Falsify event, client, payment, or account information;
• Impersonate another person;
• Upload unlawful or unauthorized materials;
• Use EventSync to harass or threaten another person;
• Disclose confidential client or event information without authorization; or
• Use EventSync in a manner that violates applicable Philippine law.

Unauthorized access, system interference, and similar conduct may also be subject to Republic Act No. 10175, the Cybercrime Prevention Act of 2012.

6. Inquiries and Bookings

Submitting an inquiry through EventSync does not, by itself, guarantee acceptance or confirmation of an event booking.

A booking becomes confirmed according to the requirements established by Lots of Love Events, which may include:

• Acceptance of a quotation or package;
• Confirmation by authorized personnel;
• Submission of required information or documentation;
• Execution of an event agreement; and/or
• Payment of an applicable reservation fee, deposit, or other required amount.

Event availability remains subject to confirmation.

7. Event Information

Clients are responsible for providing reasonably accurate and updated information concerning their event.

Lots of Love Events may rely on information provided by the client when preparing:

• Event schedules;
• Supplier arrangements;
• Coordinator assignments;
• Guest lists;
• Programs;
• Venue layouts;
• Quotations;
• Checklists; and
• Other planning materials.

Clients should promptly report material changes affecting their event.

8. Agentic AI-Assisted Features

EventSync may provide AI-assisted tools intended to support routine event-planning activities. Depending on the function available, AI may assist with:

• Initial quotation drafts;
• Supplier or service suggestions;
• Event schedules;
• Checklists;
• Planning information;
• Routine inquiry assistance; and
• Other administrative preparation.

AI-generated content is provided as planning assistance and should not be treated as an independently approved decision, final quotation, binding contractual commitment, professional advice, or guaranteed recommendation.

Authorized personnel are responsible for reviewing, modifying, approving, or rejecting AI-generated outputs before they are used for official business purposes.

EventSync does not guarantee that AI-generated information will always be complete, accurate, or appropriate for every event.

9. Business Intelligence

EventSync may generate dashboards, charts, reports, statistics, and operational insights based on information processed through the system. Business Intelligence outputs are intended to support management and operational decision-making.

Reports may include information relating to:

• Inquiries;
• Bookings;
• Revenue;
• Payments;
• Events;
• Supplier utilization;
• Employee workload;
• Task completion; and
• Other operational information.

Such reports should be interpreted together with the underlying business records and should not be treated as guarantees of future results.

10. Venue Layout and 3D Planning Features

EventSync may allow authorized users to create, upload, review, or display venue layouts and 3D planning visualizations. These layouts are intended primarily for event-planning and visualization purposes.

Unless expressly prepared and certified by an appropriately qualified professional, an EventSync venue layout must not be treated as:

• An architectural plan;
• An engineering drawing;
• A building permit document;
• A structural certification;
• A fire-safety certification; or
• A guarantee of exact physical measurements.

Users remain responsible for verifying measurements, venue restrictions, emergency requirements, capacity limits, and other requirements directly with the venue or appropriate professional.

11. Documents and User-Provided Content

Clients and authorized users may upload documents, photographs, floor plans, contracts, receipts, event materials, and other content.

The person uploading content represents that they have the legal right or appropriate permission to use and provide it.

Ownership of client-provided content remains with the client or its lawful owner.

By uploading content to EventSync, the user grants Lots of Love Events only the permissions reasonably necessary to store, display, process, share with authorized users, and otherwise use that content for event management and system functionality.

12. Messaging and Communication

EventSync may provide internal and client-facing messaging functionality.

Users must use messaging features professionally and only for authorized purposes.

Messages, files, and attachments related to an event may form part of the event’s operational records and may be accessible to appropriately authorized personnel.

Users must not use EventSync messaging to distribute unlawful, malicious, abusive, or unauthorized content.

13. Suppliers

EventSync may contain supplier information used by Lots of Love Events for planning and coordination.

Unless specifically stated otherwise, the appearance of a supplier in EventSync does not create a separate EventSync account for that supplier and does not by itself constitute an endorsement, warranty, or guarantee of the supplier’s performance.

Supplier arrangements remain subject to the applicable agreement between the relevant parties.

14. Payments

EventSync may display or record event payment information such as:

• Total amounts;
• Installments;
• Due dates;
• Payment status;
• Receipts;
• Transaction references; and
• Outstanding balances.

Where online payment functionality is available, payment transactions may be processed by an authorized third-party payment provider.

The applicable quotation, booking agreement, invoice, or event service contract determines the amount, payment schedule, cancellation terms, and refund conditions for a particular event.

Consumer transactions remain subject to applicable Philippine consumer-protection laws, including Republic Act No. 7394, the Consumer Act of the Philippines, where applicable.

15. Cancellations and Refunds

Cancellation, rescheduling, refund, and forfeiture rules for an event are governed primarily by the applicable quotation, booking agreement, coordination agreement, or other contract entered into with Lots of Love Events, together with applicable Philippine law.

Nothing in these Terms is intended to remove rights that cannot legally be waived under applicable consumer or other laws.

16. Privacy and Personal Data

Use of EventSync is also governed by the EventSync Privacy Policy.

Users with authorized access to client, guest, employee, or event information must maintain its confidentiality and use the information only for legitimate and authorized purposes.

Users must not sell, improperly disclose, reproduce, or use personal information for unrelated purposes.

17. Intellectual Property

EventSync’s original software, interface designs, branding, logos, database structures, system components, and other original materials are protected by applicable intellectual-property laws, including Republic Act No. 8293, the Intellectual Property Code of the Philippines, subject to the rights of their respective owners and developers.

Nothing in these Terms transfers ownership of EventSync intellectual property to a user.

Users may not reproduce, redistribute, reverse engineer, commercially exploit, or create unauthorized copies of protected EventSync components except where expressly authorized by the lawful rights holder or permitted by law.

Third-party software, libraries, trademarks, services, and other materials remain the property of their respective owners and are subject to their applicable licenses and terms.

18. Availability and Maintenance

Lots of Love Events aims to keep EventSync reasonably available for authorized users.

However, continuous or uninterrupted availability cannot be guaranteed.

The platform may occasionally become unavailable because of:

• Maintenance;
• Software updates;
• Hosting interruptions;
• Internet or network problems;
• Third-party service interruptions;
• Security incidents;
• Technical failures; or
• Circumstances beyond reasonable control.

Where reasonably practicable, system issues will be addressed and service restored as appropriate.

19. Third-Party Services

Some EventSync functionality may depend on external technology providers, such as services used for:

• Hosting;
• Network and domain infrastructure;
• Email delivery;
• Payment processing;
• Online meetings;
• AI-assisted features; or
• Other technical integrations.

Availability of these functions may therefore be affected by the availability and policies of the relevant third-party provider. EventSync does not control independent third-party systems.

20. Limitation of Liability

To the extent permitted under Philippine law, Lots of Love Events and the authorized operators or developers of EventSync will not be responsible for indirect or consequential losses resulting solely from circumstances outside their reasonable control, including third-party service interruptions, internet failures, or unauthorized actions by another person.

Nothing in these Terms excludes or limits liability where such exclusion or limitation is prohibited by applicable Philippine law.

21. Suspension or Deactivation of Accounts

An EventSync account may be suspended, restricted, or deactivated where reasonably necessary because of:

• A user’s departure from Lots of Love Events;
• Completion or termination of an authorized role;
• Unauthorized access;
• Misuse of the platform;
• Material violation of these Terms;
• Security concerns;
• Fraudulent activity; or
• Other legitimate administrative or legal reasons.

Where appropriate, access may also be changed when a user’s role or event assignment changes.

22. Audit and Monitoring

EventSync may maintain audit logs and other activity records for legitimate purposes such as:

• Security;
• Accountability;
• Troubleshooting;
• Access monitoring;
• Investigation of unauthorized activity; and
• Compliance.

Audit records are intended to preserve an accurate record of relevant system activity and should not be improperly altered or manipulated.

23. Changes to EventSync

EventSync may introduce, change, improve, restrict, replace, or discontinue system features as the platform develops. Changes may include modifications to:

• User interfaces;
• Modules;
• Integrations;
• Roles and permissions;
• AI capabilities;
• Security controls; and
• Administrative processes.

Where a change materially affects these Terms or users’ privacy rights, the applicable policy or Terms will be updated accordingly.

24. Changes to these Terms

These Terms may be revised to reflect:

• Changes to EventSync;
• Changes in Lots of Love Events’ operations;
• New integrations;
• Security or privacy changes; or
• Applicable legal or regulatory requirements.

The latest revision date will be displayed at the beginning of these Terms.

Continued use of EventSync following appropriate notice of revised Terms may constitute acceptance where permitted by applicable law.

25. Governing Law

These Terms shall be interpreted in accordance with the laws of the Republic of the Philippines.

Disputes that cannot be resolved through reasonable communication or settlement may be submitted to the appropriate court, administrative agency, or other authority having jurisdiction under Philippine law.
